Short answer: Monthly bookkeeping in the Inland Empire brings your bank, card, loan and processor activity into QuickBooks Online or Xero, codes every line, reconciles each account to its statement and closes the month. You answer one short list of questions. Then you get a profit and loss and a balance sheet, with a short note on anything that moved.
What happens each month
Monthly bookkeeping is the same short list done the same way, every month, without skipping. That is the whole value. Books that are done in a rush once a quarter are always a little wrong. Books that get closed every month stay right.
- Pull in the month Bank feeds, credit cards, loan statements and your payment processors come into QuickBooks Online or Xero.
- Code every line Fuel goes to fuel. Parts go to cost of goods. The owner's Costco run goes to the owner, not to supplies.
- Ask what we can't tell Some lines need you. We send one short list of questions, not twenty texts.
- Reconcile Every bank and card account ties to its statement. Loan balances tie to the lender's statement.
- Close and report You get a profit and loss statement and a balance sheet for the month, with a short note on anything that moved.
Why it matters for an operator
A trucking company with three tractors needs to know cost per mile before it bids a lane. A contractor needs to know if the last job made money before taking the next one. A restaurant needs food cost as a percent of sales while there is still time to change the menu.
None of that works off books that are three months old. Monthly close gives you numbers while they can still change a decision.
What you hand off and what you keep
- You keep: your bank, your payroll provider, your CPA and your software login
- You hand off: categorizing, reconciling, month-end close and the reports
- You answer: a short list of questions each month, usually by email
- Your CPA gets: a clean file at year end, with no catch-up bill
Reports you will actually read
A report nobody reads is a waste of a close. So the monthly package stays short. Profit and loss for the month and the year to date. A balance sheet. If you use classes or locations, profit by truck, crew or store. And a few lines in plain words: what changed, what looks odd, what we need from you.
If a number jumps, we say why. Fuel up because two trucks ran extra loads. Repairs up because of the transmission in March. That way you are not left guessing whether the books are wrong or the business changed.
Signs you need monthly help
- There are hundreds of uncategorized transactions in your bank feed
- Your QuickBooks balance does not match the bank
- You learn your profit from your tax return
- A lender asked for year-to-date financials and you stalled
- Your spouse or your office manager is doing the books on top of a full job
What a month looks like for you
Most months you will spend less time than one Saturday morning used to cost you. Forward the receipts that matter. Answer the question list. Read the report when it lands. If something looks off, call and ask. That is the job on your side.
Behind already? Monthly work starts after a catch-up or cleanup brings the file current.

Questions
When do I get my monthly reports?
After every account for the month is reconciled. The exact timing depends on when your statements post and how fast questions get answered, and we agree on it up front.
Do I need to switch software?
If you are on QuickBooks Online or Xero, no. If you are on QuickBooks Desktop or spreadsheets, we will talk about moving.
Can you work with my CPA?
Yes. Your CPA keeps doing your taxes. We give them a clean, reconciled file at year end.
What if I have more than one business?
Each business gets its own file and its own close. Tell us about all of them on the call.
